WTI Intensive Tip Sheet

Guidelines

Have you reviewed the WTI Intensive Guidelines to make sure that what you are proposing is within the guidelines?



Topic

Have you decided on a topic? (See Guidelines for Sponsoring a WTI Intensive for a list of possible topics.)



Date

Have you:
  • confirmed your prospective date with WTI?
  • confirmed your tentative date with your chosen facilitator?
  • confirmed your tentative date with your chosen facility?
  • finalized your date?
  • let everyone above know the actual date?


Facilitator

Choosing a Facilitator
Have you:
  • obtained a list of WTI faculty from WTI?
  • reviewed the faculty list for possible presenters?
  • requested materials from the presenters in which you are interested?
  • reviewed the materials to see what would be covered in an intensive which they facilitate?
  • interviewed several of the possible facilitators to see if you like them?
  • asked how much a facilitator will charge to do the intensive, asked about her travel costs and any special requests she might have?
      Special requests might include any or all of the following.
      A facilitator may want:
    • to stay in a motel
    • to stay in her own room at the facility or in someone's house
    • to stay in a place with no animals, no smoke, or have other restrictions to consider
    • special food or beverage
    • someone who will be her contact
    • supplies, equipment (like flip charts, chalk board, slide projector, tape recorder, etc.)

    Hint: You don't have to honor all of a facilitator’s requests, but you should know what they are so you can make a decision about whether or not you choose to.)



    Working with your facilitator
    Have you:
    • made arrangements directly with her about payment, food, housing, travel, etc.?
    • confirmed what her travel arrangements are?
    • planned for someone to meet her at the site or pick her up at the airport?
    • planned for someone to transport her in town if needed?
    • arranged a place for her to stay?
    • made arrangements for any of her special needs that you agreed to?
    • provided a contact person for her for the weekend?


    Location

    Is the location:
    • safe?
    • accessible?
    • private?
    Does the facility have:
    • animals that someone might be allergic to?
    • other people there (cooks, maintenance folks, other users)?
      will that be okay?
    • chairs, tables, etc.
    • equipment (flip charts, overhead projectors, etc.)
    Do you need to make any plans for:
    • security?
    • first aid?
    • Are women going to be sleeping there?
    • Will they need to bring bedding?
    • Will they need towels or toiletries?
    • Did you include that in your promotional materials?
    • Will you need to make room assignments?
    • Did you ask for roommate information in your materials?
    • If women are not sleeping there, where are they going to sleep?
    • Do you have a list of local motels? (See Community Housing below)
    • Are women going to be eating there?
    • Does the facility have a kitchen?
    • Do you have a cook?
    • Will women need to bring utensils and dishes?
    • Did you include that in your promotional materials?
    • What arrangements will be made for women with food allergies?
    • Did you ask in your promotional material if they had allergies?
    • If women are not eating there where will they eat?
    • Do you have a list of local restaurants?
    • Is there a map of how to get to the facility in your promotional materials or return information?
    Have you made arrangement for:
    • someone to be there to pick up keys or meet with the facility staff before everyone arrives? clean up?
    • does someone need to be there to check out and pay facility staff?


    Money

    How much will you charge?

    Who will handle the money?

    What are your costs?
    • site rental
    • food
    • phone
    • facilitator fees and travel
    • promotional materials
    • postage
    Will you set up a bank account?

    Promotional Materials/Registration

    • Do you have someone who can design and produce a brochure, webpage or some other kind of promotional materials?
    • What address will you use?
    • What is the last day women can register?
    • Have you contacted WTI for a list of WTI participants?
    • Will you mail back a confirmation?
    • Who will do that?
    • Who will keep a list of who has registered?


    Accessibility

    Is the facility you selected accessible?
    • for women in wheelchairs?
    • for women with mobility challenges?
    • for women with environmental sensitivities?
    • What will you do if a woman is deaf or hard of hearing?
      (Hint: If you can't afford an interpreter you may be able to offer free attendance to a friend of hers who can serve as an interpreter.)
    • What will you do if a woman is visually challenged?


    Community Housing

    • Will you need community housing for your intensive?
    • Is any one willing to provide community housing?
    • How will you make housing assignments?
    • Have you asked about need and preference (for example: no smoking, no animals, etc.) for community housing on your promotional materials?
    • Will you provide community housing before and after the event?


    Transportation

    How will women get to the site?
    Will you:
    • transport them to the site?
    • pick them up at the airport, bus or train station?
    • did you tell them about transportation arrangements in your promotional materials?


    Other

    Who will:
    • provide information about who attended the Intensive to WTI?
    • send WTI an itemized expense summary and 15% of the net proceeds?
